Checklist

At a check during a posting, you must be able to show the following, on paper or digitally:

Document Why
Copy of the posting declaration (IMI) Proves that your employer has notified your posting
Consignment note (CMR or e-CMR) Proves which journey it is (bilateral, cross-trade or cabotage)
Tachograph records, with the country symbols of the border crossings Proves where you were, in which country, and when
Vehicle and trailer documents Standard at every check
Your driving licence, driver card and qualification (code 95) Standard at every check

If these documents are missing, the driver too can be fined. So ask your employer for them before you leave, and keep a digital copy on your phone.

Recording border crossings

  • Smart tachograph version 2: the border crossing is recorded automatically. Do check that the position is recorded correctly.
  • Older digital tachograph or smart version 1: enter the country symbol yourself, at the first safe parking place after the border.
  • Ferry or train: enter the country at the port or station of arrival.
  • Analogue tachograph: write the country symbol by hand on the recording sheet.

After the journey

Your employer must keep the documents. Enforcement authorities can request them via the IMI system long after the journey, and your employer must then reply within 8 weeks. So keep your own copies of your payslips and journeys too. In a pay dispute, they are your best evidence.
